Senior Operations Specialist
About the Role
We are looking for a Senior Operations Specialist to support the commercial and operational execution of vehicle sales and distribution activities across the Benelux region.
In this role, you will manage the end-to-end vehicle order lifecycle from confirmed quotation and dealer order entry through vehicle allocation, Full Vehicle Logistics (FVL), delivery coordination, and invoicing.
You will work closely with Sales, Logistics, Finance, Aftersales, and the dealer network to ensure efficient vehicle distribution and an excellent dealer experience.
The role requires strong attention to detail, excellent stakeholder communication, and the ability to manage multiple operational workflows while supporting inventory health, vehicle availability, and stock age management.
Key Responsibilities
Manage and monitor vehicle back orders at VIN level.
Execute daily Order-to-Delivery (OTD) operations, including VIN allocation across the Benelux region.
Ensure accurate vehicle assignment and allocation based on business priorities and customer requirements.
Monitor vehicle availability and proactively identify and mitigate allocation risks.
Support dealer allocation processes to ensure strategic distribution based on demand, sales performance, and regional sales targets.
Track inventory aging metrics such as days-in-stock and support actions to reduce aging vehicles.
Maintain full visibility of the vehicle pipeline from factory release through port arrival, logistics transit, and final dealer delivery.
Track Pre-Delivery Inspection (PDI) and Certificate of Conformity (COC) completion to support vehicle readiness.
Resolve operational issues including order discrepancies, pricing mismatches, logistics delays, allocation conflicts, and invoicing concerns.
Collaborate cross-functionally with Sales, Logistics, Finance, and Aftersales teams.
Support operational reporting, month-end closing activities, and backorder management.
Qualifications
Bachelor’s degree in business administration, Supply Chain, Logistics, Automotive Management, or related field.
3+ years of experience in operations, order management, commercial operations, or logistics coordination, preferably in the automotive industry.
Experience working with automotive dealer networks or distribution models is highly preferred.
Fluent in English (written and spoken); Dutch or French is a plus.
Experience with ERP or other OTD management systems.
Strong organizational skills and attention to detail.
Excellent communication and stakeholder management skills.
Ability to work effectively in a fast-paced operational environment.
